Rules: if this happens, do that

Settings → Rules. A rule reads one trigger, an optional filter and the actions you choose; every rule starts off, you can dry-run it against your own records, and every firing is one line you can read back.

1. One trigger, one filter, the actions

Pick the trigger from the fixed list — a date that passed, a document that is due, a record that did not arrive — add a filter such as the job's status if you want one, and choose the actions: an email to the owner on the portal template, a note on the job home, an inbox line for a role. Every rule starts off.

2. Start from the ten

Ten starter rules are offered, each with the sentence that says what it will do. Turn on the ones you want; a rule you remove comes back with Undo.

3. Dry run before it fires

Dry run reads your workspace's own records with your own sign-in and says what would fire today, every rule read as if it were on. Nothing is sent.

4. What fired

Every firing is one line under What fired and on the job home's feed. A reminder goes at most once in 48 hours per record and an event once ever; after three deliveries that did not go through, the rule pauses and its row says so.

5. Where the words go

An owner email uses the portal template with the portal link. An inbox line reaches the seats of the role who did not opt out under Notifications. A note on the job home is read by everyone on the job.
